Canteen Management System – Biometrics Offering Food











A study on how biometric attendance machines can help in food management, providing meals to the employees in office canteens and other eating areas.

Organizing meals in offices:

Biometrics is proving its worth in the world of attendance and access control industry but there are so many unexplored areas where the biometrics is proving its iron and one such field is organized meals in office canteens, cafeterias and other public eating areas. Canteen Management System, a set of biometric fingerprint/smart card machine and software to deal with the meal management activities. Offices that provide meals to their employees prefer to obtain a system that would offer them the synchronized meal distribution with accurate calculation and minimized monetary losses. Some offices still practice manual measures of meal entries which give a tough time and lengthy algorithms to calculate the amount and also include errors and irregular transactions. The canteen management system is a systematic approach to eliminate the manual calculations and give synchronized and coordinated results.


How it works:

A biometric machine with a built-in thermal printer installed at the canteen area prints the food slips. The employee submits the food slip at the counter and receives the food. All the employee data which is saved in the biometric attendance machine is copied in the canteen machine through which it identifies the employees at the time of the meals.
There are many offices that prefer different meal formats or provide 3-time meals, a single machine solves the purpose with the feature known as:

Finger/card punch in accordance with meal timings: The selected food menu is saved in the machine but is valid according to the meal timings. for example; if slip for breakfast will be printed by pressing button no. 1 on the machine from 8 AM to 10 AM, slip for lunch thali can be opted by pressing the same no. in the lunch timings. The generated food slip bears the date and time which acts as a physical proof.

To reduce the confusion and equal food distribution amongst the employees, the software holds another useful feature which is:

Set daily/monthly food limit: the software helps in setting the daily/monthly food limit by capping it for every employee, which means the employees can use the food limit given by the office management on a daily or monthly basis. However the limit can be changed as per the user and can be increased or decreased.

Per Day Count of total food slips generated: To counter the problem of food slip count mismatch, the machine can also display the total number of food slips generated per day.

Check on meal re-consumption: Meals can be managed by applying meal re-consumption filters which will restrict the meal slip to be re-generated again if the slip for the same time meal has already been generated which will make sure the meals are equally distributed within the employees.

Prepaid/postpaid plans: in terms of meal amount addition/deduction, prepaid or postpaid plans can be opted by which food credits can either be uploaded in the month’s starting or can be calculated at the month’s end.

Simplifying Vendor- Customer Relations:

Canteen management system offers you various valuable features and reports which provide transparency between the vendor and office management in terms of food consumed finances, data discrepancy and other sort of reports through which calculations and adjustments can go inaccurate. Reports like:
Item master, to add and remove the food items from the food menu,
Employee and Designation master, to add and remove the employees and their designations to allow/remove several options and authorities for meals,
Category and department master, to add/remove different categories and office departments,
Cash deposit entries,
Employee transaction history,
Employee information, whether they are on prepaid/postpaid plan,
Item information, the food items, their rates, and other info.,
Employee’s daily, monthly consumption reports, and summary,
Employee meal account balance,
Import/export cash deposit


Give user-friendly and clear reports to maintain transparency amongst the administration and the food vendor in terms of meal consumption, finances, special allowances and facilities. Biometric Access Control – Next Level Surveillance Act

Examining two of the most eminent features in an access control system and door controller with slave reader operated through smart cards or finger punch for surveillance.



Anti Pass Back:
This refers to a process of blocking the unauthorized access of unregistered person through a registered employee.

It has been experienced in the offices that unauthorized people access a particular floor with the help of an authorized person with only one access card. Once an employee who has marked IN by punching the card on access system will need to mark OUT as well to complete one cycle on IN and OUT from the floor, otherwise the system won't allow the employee to enter or leave the floor, this feature, in turn, can block the exit of the person who has entered the floor illegally as he/she won't be able to move out from the floor now.



Feedback Locks:

Following the list of various modes of security breach through access control systems, another one in the list can be a physical barrier which can obstruct a gate from closing, let us suppose an authorized employee opened the door with the access card and placed a chair, rod or any other object before the door creating a barrier and not letting it to meet the armature plate to get closed. This act can make the doors open for everyone. What is particular about feedback locks is the siren or beep sound which gets installed with the doors so that if any object restricts the door in getting closed, the siren or beep sound starts ringing, informing everyone about the suspicious activity.

Can Biometrics be Metal Strong?



When Biometric attendance machines and access control systems took birth in plastics, can there be any other option to offer them more firmness?


Plastic, a Stereotype for Biometrics:

The world is now well versed with the thought on how a biometric attendance machine would look like. If a person wants to go deep down into the Design & Development part of it, apart from all the electrical and electronic devices, it is majorly being made up of good quality plastic. And that's what we desire for, in terms of outer finish and appearance of a bio-metrically operated attendance machines and access control systems as features are always given preference over the casing.


Why the need for Metallic Casing appeared?

But the conditions are not same everywhere. A light weight plastic made biometric attendance machine can be best suited for Corporate offices with fewer employees and comparatively less wear and tear as compared to big industrial setups, factories, warehouses where a machine will come in contact with Thousands of labors, workers, technicians and many others. It would be difficult for a plastic to bear such amount of load.

Unskilled labors are not familiar with such equipments and training needs to be given to use such machines but results won't be satisfactory as deformity will definitely appear in the machine. Next problem arises with the environmental conditions of such places as manufacturing units are comparatively hotter, moist and unpleasant. On the other hand a machine would come in contact with labor's dirty, greezy wet hands or fingers making the machine more prone to defects and UN-functionality. So the question here is,

  • What can be used instead of Plastic?
  • What can be more strength-full with decent looks along with outstanding performance?

Answer can be simple, to use any metallic substance for casing of biometric machines but the next obstacle will be the Design & Development facility with which it can be designed, manufactured and assembled. This can only be implemented by an Indian manufacturer with in-house Research & Development team and facilities. Next struggle is with the user friendly approach of the machine which should help the unskilled employees to mark the attendance easily.

  • Symbols to show where to punch the attendance through finger or card in National or Native language can be the finest idea for labors
  • Visual confirmation through Red/Green indicators can act as an add on for surety
  • Audible confirmation in National/Native language can mark the final acceptance for attendance

AADHAAR's biometric data to be more secure

A Hyderabad based I.T firm is exchanging dialogues with various Indian state governments to provide biometric masking & management technology solutions for AADHAAR services.

As per the Supreme Court's order to make AADHAAR's biometric data more secure and to bank all the information with some reliable agency to take care off. The governments of Telangana & Uttar Pradesh are already in collaboration with the firm and are using their Subsidy Management System.
